Administrative Associate – Part Time
A non-profit established in 1998, The Cultural Landscape Foundation® (TCLF) connects people to places. - Landslide®, an ongoing collection of important landscapes and landscape features that are threatened and at-risk.
- The Oberlander Prize, a biennial prize in landscape architecture that includes a US$100,000 monetary award and two years of public engagement activities.

Scope and Impact
The Office Administrative Associate plays an essential role by supporting administrative and development support to TCLF’s Leadership and Staff. This role supports every program at TCLF and offers the opportunity for the right candidate to get involved in the varied, impactful advocacy and stewardship work of the organization.
Specific Responsibilities
- Manage office administration, procurement, and problem-solving.
- Collaborate with teams to maintain contact database in Salesforce and make sure the system is running effectively.
- Assist President and staff in planning and executing perennial administrative projects, including TCLF’s annual silent auction.
- Process donations in collaboration with Finance Department.
- Prepare donor acknowledgement letters and other correspondence.
- Scan all office mail, checks and other important documents on the office scanner and share via email with proper team members.
- Prepare and make weekly non-cash bank deposits.
- Enter time sheets for the executive team members.
- Prepare ad-hoc projects as assigned by the finance department.
- Assist with production and mailing of year-end appeal letters and other appeals as assigned.
- Proactively maintain inventory of office supplies and resources.
- Fulfill online bookstore orders and other public requests.
Preparation and Knowledge
- Experience in an administrative position, preferably in a not-for-profit office.
- Experience assisting and supporting executive leadership or teams, preferably in a not-for-profit office.
- Proficiency in Microsoft Office, including Word, Excel and Outlook; familiarity with Google Docs or other document sharing tools a plus.
- Database management experience – Salesforce preferred.
- Some Bookkeeping experience a plus.
- QuickBooks experience a plus
- Bachelor's degree preferred.
- Excellent verbal and written communications skills.
- Ability to present information concisely and effectively, both verbally and in writing.
- Ability to organize and prioritize work.
- Ability to work independently with little supervision.
- Excellent interpersonal skills.
Job Type: part-time, in-office, flexible hours.
Experience: Administrative support; executive assistant; development support: 2 years preferred.
